Asset receipt, borrowing and return represent different responsibility relationships. Overdue borrowing needs to be reminded and verified, and it cannot automatically become a long-term borrowing. The ledger should also explain the current whereabouts and the basis for each responsibility handover.

Asset ledger

Establish asset identification, classification, location and current responsibility relationship. Physical resources and consumables should be managed separately according to actual processes. Ledger attribute service query and verification should not become an infinite field list that is difficult to maintain.

Transfer process

Receiving may change long-term custody responsibilities. Borrowing usually has an expected return time. The two types of records should not be mixed. It is also necessary to clarify whether transfer, maintenance and decommissioning will affect the loan status.

Check records

Inventory discrepancies are traced through relevant transfer and adjustment records, and the current user cannot be directly modified to cover up the discrepancies. Historical liability relationships retain the time and reason to help companies understand the actual flow of assets.

Scenario verification

Overdue asset borrowing does not mean that the responsibility relationship automatically changes. Reminders and verifications should be arranged according to the company’s procedures. The inquiry page retains the loan time, agreed return and current processing records to facilitate staff follow-up.

Specific verification method

The agreed return time is saved when lending; the due date and unpaid check reminder will not overwrite the original borrowing fact; after the return, the asset status and responsibility relationship are synchronized; resubmit the return without duplicating the accounting. Check the history to find the respective times and instructions for lending, renewal, and return.

The current ledger is used to locate assets, and historical events explain changes in responsibilities. There are corresponding actions for borrowing extension and return, and staff do not need to modify a list of responsible persons to replace the actual handover record.
