The turnover in the cashier system and the arrival of the payment channel are not necessarily confirmed on the same day, and may also include refunds, handling fees and pending transactions. Daily settlement cannot just allow employees to enter a total number. The difference between transaction date, payment date and settlement date needs to be made clear. First match the business and financial records, and then decide which differences need to be processed on the same day.
Clear the questions and conditions first
The daily settlement page summarizes the payment methods and provides authorization details. Cash handovers, online payments and refunds are recorded separately, and snapshots are retained after confirmation by the supervisor. Fill in the reasons for differences and pending responsibilities, and do not make any adjustments to make the numbers consistent. Cross-day refunds are linked to the original order, but the actual date is noted on the funds report. Price and quantity modifications retain the original values and approval basis.
Put the rules into the actual process
For example, if a customer purchases a refund the next day, the sales daily report and capital flow will be displayed according to their respective calibers, and the relationship will be explained; if the payment is successful but the order fails, exception checking will be entered. After confirmation, the record will be completed, and no repeated payments will be collected from the customer. The handover amount and transaction scope are also confirmed separately during store shifts.
Check the processing results item by item
- The acceptance selection includes examples of partial refunds, repeated notifications and cash differences.
- After the end of the day, corrections will be made to produce a new version, the original snapshot will be retained, and finance can find the reason for the change.
- Headquarters and stores are summarized using the same caliber, and query permissions are divided by position.
- Pay attention to the duration of unresolved differences every day. The presence of reports in the system does not mean that the reconciliation is completed. Clear personnel are required to handle the exceptions to the results.
How to review before and after going online
The daily settlement of a shift can show the outstanding differences of the previous shift, and the successor can confirm whether it needs to continue processing. The handover cash and the system transaction amount should be checked separately, and unidentified differences should not be automatically regarded as settled just because both parties signed the shift handover record.
