Only handing over unclosed work orders when handing over will miss the information that customers have been promised to reply later or wait for external teams. Shift handover should revolve around next steps of responsibility.

First clarify the problems and conditions

List the matters to be responded to, upgraded, scheduled return visits and abnormal customer matters, and indicate the final communication and commitment time; update the reminder receiving role after the successor is confirmed.

Incorporate rules into the actual process

For example, if the work order is temporarily closed but it is agreed to verify the recovery situation the next day, a return visit should still be included in the list; important instructions should be placed in the work order and cannot just rely on chats in the shift handover group.

Check with specific scenarios

Drill temporary shift changes and successor absences to ensure that matters are entered into the public to-do list; check whether the commitment expiration prompt reaches the current person on duty, and record the completion results.

Check the processing results item by item

  • The shift handover page can be sorted by expiration time and risk level, and important matters should be clearly confirmed and accepted.
  • Automatic reminders and verbal explanations should fall into the same work order, otherwise latecomers will not be able to read the context.
  • The contact person and the latest inquiry are recorded for matters that need to be responded to by the external team. The successor will know whether the next step needs to be urged.
  • When there is a temporary substitution due to shift adjustment, the original reminder recipient should be updated in a timely manner. Mass reminders cannot replace specific responsibilities.
  • A snapshot can be retained after a shift to review what was missed, but the current status continues to be updated as processing progresses.
  • Managers focus on items that have not been accepted and commitments that are about to expire, so that shift records can serve customers to obtain subsequent responses.

How to review before and after going online

If you find that the content of the commitment is unclear after taking over, you can check with the original team and complete the record. If the date cannot be honored, the person in charge will promptly contact the customer to explain, and only modify the date in the system before the reminder expires.
