After the work order is transferred, the new handler asks the customer to explain it again, but usually the context is not transferred accordingly. Assignment is more than just modifying a responsible field.

Start from the needs

Hand over the problem summary, verified information, attempted treatments and attachments together, and state the reasons for the transfer and expected results; the new person in charge will confirm receipt before ending the previous stage.

Things that should be paid attention to in the design

For example, if a front-line verified account can be logged in but the export fails, the reproduction steps and error information should be retained when handed over to the technical team, so that the technical team can continue to investigate based on the existing facts.

For example, handle it like this

Test whether cross-team permissions allow reading necessary information, and check whether the notifications received by customers are accurate; transfers that are not received need to be returned to the visible queue and cannot become unaccountable.

Check the processing results item by item

  • The handover page can first display the reasons that have been eliminated, so that the takeover team can avoid repeatedly asking the customer to try the same operation.
  • When the original person in charge was transferred, he specified whether he expected technical diagnosis, authority approval or accounting verification. Different tasks require different receiving roles.
  • When the reception fails, the reason is displayed and returned to the processable queue. The work order cannot be silently left in a non-existent department.
  • Customers see unified processing status, and internal flow does not require confusing notifications at every step.
  • If the attachment shared across teams contains sensitive information, authorization can be limited to the necessary scope instead of opening the entire customer file.
  • The transfer record retains the start and confirmation reception times to facilitate the distinction between coordination waiting and actual processing.

Check the processing results

Cross-team handover also needs to confirm who is responsible for replying to the customer. Direct communication is not necessarily required when the technical team completes the diagnosis. The page retains the person responsible for external responses, so that the results of the processing can be converted into instructions that customers can understand in a timely manner.
