Visitor reservations can reduce on-site repeated communication, but the reservation information does not mean that the visitor has arrived. The park visitor system should distinguish between application, confirmation, arrival and departure. The entrance only collects information necessary for business, and the use scope and retention arrangements of records should be clearly defined.
How to arrange records and operations
The appointment is associated with the visited unit, valid period and contact person, and verifiable vouchers are generated after the agreement is confirmed. On-site verification records actual arrival and prompts when the voucher has expired or been used. Canceled appointments are synchronized to the verification end. Temporary visits have an independent registration process and do not bypass confirmation by copying old appointments.
The appointment voucher only contains the information required for on-site verification, and the QR code is not suitable for directly encoding complete personal information. After the visited unit confirms, the actual changes in attendance will be rechecked according to the rules to prevent the original appointment from being extended indefinitely. The departure record corresponds to the arrival record, and it needs to be clarified whether multiple passes with the same voucher are allowed. The front-end query only displays the current range that needs to be processed. The retention period and purpose of use of registration data can be stated at the entrance. Expired data will be cleared according to confirmed arrangements. All visitor records cannot be kept just because the system has space.
Specific scenarios that need to be checked
For example, if a visitor changes the number of people traveling with him, the test site personnel can see the confirmed range. QR code screenshots should be recognized when used again, and there should be clear processing boundaries when the device is disconnected. Permissions limit the scope of export and query, and ordinary tenants cannot browse the visitor records of other companies.
