The project name, bid section and contract abbreviation are often written differently in the forms of different departments. If the project ledger does not have stable numbers, it will be difficult to correlate progress, materials and expenses. The construction project management system needs to first clarify the project structure, and then classify each business record into the corresponding level.

How to arrange records and operations

Manage projects, bid sections and construction parts separately, and retain name changes and historical aliases. The person in charge, participating units and planning date record the validity time, and the current field cannot be used to cover the entire history. Before deactivating a project, check uncontracted contracts, unfinished work orders, and data to be archived to avoid losing access to business records.

The ledger number should remain stable when the name is changed, the person in charge is adjusted, and the project phase is switched. The project structure can set up a parent-child relationship, but it is not appropriate to mix contracts and construction sites at the same level. Budgets, expenses and data are each clearly summarized in a clear way to prevent an expense from being double-counted in parent projects and sub-projects at the same time. Historical records within the authorization scope can still be accessed when querying deactivated projects. When multiple systems are connected, the external number is saved. If the association fails, it will be entered into the to-be-checked list. It will be automatically classified into projects regardless of the same name.

Specific scenarios that need to be checked

For example, if the same project contains two construction areas, test whether material procurement and progress records can be queried separately and summarized. The original numbering relationship is checked when importing, and duplicate names are not automatically determined to be the same project. Attachments are associated by business objects, making the project ledger a query entry rather than another summary table.
