The end of the sale does not mean the transfer of information is complete. If the delivery personnel can only see the contract amount but not the interface, training and acceptance agreements, it will be easy to confirm repeatedly after the project starts.

Start from the needs

Organize the delivery scope, customer contacts, dependent materials, payment nodes and special agreements, assign confirmation responsibilities; set versions and access rights for contracts and attachments.

For example, if you promise to go online in stages, the scope of each stage and the preparation conditions that the customer needs to provide should be recorded; unconfirmed items are listed separately and cannot be mixed with approved requirements.

The delivery role confirms whether it is executable item by item, and checks whether the list is synchronized after the change; the handover page must not only be able to check the original contract, but also see the processing status of key matters.

Check the processing results item by item

  • It is best to form a work page that can be checked for the handover data. The contract text, quotation attachments and supplementary confirmations each have source links.
  • When encountering matters discussed orally, supplementary confirmation basis should be prompted, and the transferor cannot arbitrarily assume that they have been included in the contract.
  • The accounts, data samples and interface descriptions that customers must cooperate with can be entered into the startup preparation list to mark whether they are currently available.
  • The payment node and the acceptance node are related, but should not be directly equated. Finance and delivery confirm their respective responsibilities.
  • Subsequent changes should point to new confirmation materials, and the original handover snapshot is retained to facilitate the differentiation of the original scope and later added work.
  • After the handover is completed, a supplementary question entry is still needed so that missing materials can continue to be tracked.

Check the processing results

Tasks that do not meet the start conditions can be marked with blocking sources and expected confirmation nodes. Delivery personnel need executable scope and cannot directly treat sales of ideas that have yet to be discussed as acceptance items that must be completed.
