Purchase reconciliation often uses multiple forms for back-and-forth confirmation, and it is difficult to know which one is valid until the final modification. The supply chain system needs to organize differences according to orders, receipts and settlement matters, so that both parties can communicate around the same business and leave a confirmation version.

How to arrange records and operations

The statement saves the source range and deadline, and lists the quantity, price and processed returns item by item. The reason for the disputed item is marked, and supplementary evidence and amendments are allowed. After both parties confirm, the effective version will be locked, new business will enter subsequent reconciliation, and confirmed results will not be quietly changed.

The reconciliation period and inclusion status need to be confirmed by both parties, and unaccepted goods, returns and fee adjustments are listed separately. Detailed snapshots are retained when the statement is formed, and subsequent business corrections are entered into discrepancy processing, and already sent files are not modified silently. When the other party raises objections line by line, record the reasons for the objections and the responsible positions. After both parties confirm the amount, payment or invoicing is still an independent process. Test the processing path for a return after the statement is sent to ensure that the original amount, adjustment source and final confirmation can all be found.

Specific scenarios that need to be verified

For example, if the freight agreement and the purchase unit price are settled separately, the ownership should be clearly stated in the reconciliation project. Test partial confirmations, discrepancy returns, and duplicate submissions to ensure that unresolved items do not automatically roll into confirmed amounts. The internal financial interface only receives records that meet the agreed status, reducing subsequent manual write-offs.
