After discovering inventory discrepancies, directly adjusting to the count quantity can temporarily eliminate the numerical conflict, but it cannot explain where the discrepancy arises. ERP needs to support discrepancy investigation and handle unrecorded entries and exits, unit errors and inventory deviations separately to avoid the same problems from recurring.
How to arrange records and operations
The inventory results are first saved as records to be reviewed, and the inbound and outbound documents near the deadline are checked. When confirming missing business, complete the original business documents. When adjustments are really needed, register the reason, reviewer and scope of impact. The business rules for freezing inventory and continuing operations should be agreed in advance and cannot rely on on-site verbal notification.
Moving business near the inventory count deadline can easily cause misalignment: the goods have been moved but the documents have not yet been confirmed, or the system has deducted but the physical goods are still in place. The survey page can display the occurrence time, registration time and confirmation time side by side. When the review task is performed by different personnel, the results of the two times are retained, and the second amount is not directly overwritten by the first one. After the discrepancy is processed, the original inventory record and the supplementary document remain related, and subsequent inspections can determine whether it is an omission in the on-site operation or an error in the measurement method.
Specific scenarios that need to be checked
For example, if a box of materials is put into storage by box and shipped out by piece, test whether the unit conversion and unpacking records are consistent. After the adjustment, the inventory value, book value and processing basis can still be seen in the query. Management reports analyze variances by cause to help identify process issues, not just adjusted inventory balances.
