The cost report only shows a total, and it is difficult for the business department to confirm whether the difference comes from the purchase price, material consumption or allocation rules. The ERP cost module should save the calculation basis so that personnel can find the source along with the summary results without relying on additional tables for explanation.

How to arrange records and operations

Clear accounting objects, expense categories, allocation bases and period ranges, and retain rule versions and source data snapshots during calculations. Manual supplementary expenses are marked separately, and recalculation records cannot overwrite the previous results. Differences between different accounting methods should be presented through rules descriptions.

The apportionment results can save the base, proportion and amount of each accounting object to facilitate the discovery of tail differences caused by decimal processing. When there is no base available for common expenses, they remain pending and are not automatically divided to allow the calculation to pass. Procurement returns, scrap and rework may affect different cost items and need to be confirmed according to enterprise accounting rules. Display the source of changes before recalculation, such as new expenses or revised hours; after reviewers confirm the differences, the new calculation version will be used as the basis for subsequent processing.

Specific scenarios that need to be checked

For example, if manufacturing costs are allocated based on working hours, a list of the working hours and expenses involved in the calculation should be available. Test missing working hours, inter-period documents and repeated collection, and confirm that the system will prompt an exception. Submit financial processing after business confirmation is completed to prevent the tentative results from being mistaken for the finalized amount in the interface.
