When the customer adjusts the quantity or delivery date, an order may already have shipping, purchasing or production tasks. Directly editing the original order will make the execution record lose its basis. Order changes need to describe the differences and distinguish between the parts of the business that have not yet been executed and those that have been executed.
How to arrange records and operations
Save the original order version and propose additions, reductions or date adjustments through change requests. The system lists related tasks and scope of influence, which are confirmed by the corresponding positions. The quantity that has been shipped cannot be disappeared directly by changing the order to a smaller one; the part involving returns should go through an independent return process and be associated with the original delivery record.
Change orders can identify adjustments to delivery date, quantity, price and delivery location line by line, rather than just displaying the full text of the new order. The production post mainly confirms the impact of the task, the warehouse confirms the stocked part, and the financial department confirms the relevant funds. Each has different inspection content. When the customer proposes a change but the enterprise has not yet confirmed it, the application status should be maintained. Whether the goods that have been picked but not shipped are withdrawn must also be entered into the impact list. Otherwise, the order screen has been cancelled, and on-site personnel may still load the goods according to the original instructions.
Specific scenarios that need to be checked
For example, if the customer cancels the remaining quantity, the test should verify how the tasks to be produced and the tasks to be shipped are handled, and the completed records should be kept for review. Valid orders cannot be changed in advance when the change approval is returned. The interface for transferring data externally should also carry a version or change identifier to prevent the cooperative system from receiving two interpretations.
