Opinions on official documents need to correspond to the version viewed during processing. If the old attachment is still displayed after the revision is returned, the person may continue to comment on different manuscripts, forming two seemingly valid main texts. The version mark should be used throughout submission and publication.
File object
Associates file information, transfer tasks and final archives, instead of just creating a shared folder. It should be clear which version corresponds to each application, so that staff can check their opinions and modify the content.
Modification process
Drafting, review and release may be completed by different positions, and a path for return modification and resubmission needs to be designed. The old version does not need to be displayed on all pages, but it should be able to explain the content on which it was based when querying the record.
Retrieval permissions
Classification, numbering and business association are helpful for retrieval, and the access scope needs to be determined according to actual responsibilities. Downloading and providing files to the outside world are separate operations, and it is not appropriate to default to batch export for all viewers.
Scene verification
After the official document is returned for modification, you can check whether the last opinion, current manuscript and resubmission record are consistent. Staff should be clear about the objects of this processing and avoid continuing to annotate on old documents to produce two valid versions.
Specific verification method
Upload a new manuscript after return, and check that the correct version is displayed at the current processing entrance; old opinions are related to the original manuscript; the final release document is consistent with the circulation result; the attachment with the same name still has a recognizable version, and repeated submissions will not produce two official document records that are effective at the same time.
The file names can be the same, but the version relationship must be clear. Only when submission, annotation and release are connected to the same circulation record can the staff identify the object of this processing and review the previous modification process.
