Teams often reuse covers, presentations, and product videos. Materials are scattered in the chat group, and temporarily obtaining the wrong version may bring expired prices or unapproved content into the live broadcast.
Difficulties in actual use
Establish a material catalog, version, authorization scope and validity period, and refer to the audited version for activities; display affected activities when updating, and let the person in charge decide whether to replace it.
How to arrange functions and responsibilities
For example, after the product function demonstration is updated, the old replays will still retain the original version records, and new activities will use the new version; pages involving prices need to be checked separately, and you cannot just look at the file modification date.
Scenario example
Simulate material withdrawal and version replacement, check whether the activity page, push terminal and playback attachments are consistent; prompt the person in charge of expired materials, and do not directly and automatically overwrite the published content.
Check the processing results item by item
- The material details can include applicable products, review dates, maintainers and authorized sources.
- Save the version when quoting the material, and the event review can retrieve the actual content displayed at that time.
- If the authorization expires, the system prompts the person in charge of the affected activity to decide to replace or stop using it, instead of continuing to play without anyone knowing.
- The test account and sample data in the demonstration screenshots should also be checked, and internal production pages cannot be used directly as demonstration materials.
- The search in the material library can be filtered by topic, format and purpose, allowing the host to find suitable content faster.
- Published replays cannot be quietly changed with the update of the material library. Replacement should produce a new version and explain how to save the original display record.
Verification and continuous maintenance
Temporarily replaced materials should also be left in the activity record, so that review can see the actual version used. Files brought in by the host from a personal computer also need to be checked for source, and will not be exempted from review just because they have not been entered into the material library.
