When suppliers deliver goods at the same time, queuing at the platform and waiting by receiving personnel may alternate. If the appointment function only records one date, it will be difficult to arrange on-site resources. Planned arrival, actual arrival and start of unloading should be distinguished to let the warehouse know which operation the resources are occupied.
Stock location numbers rely too much on human memory, which makes it slow for new employees to find goods, and it is easy to cause confusion after moving shelves. The WMS storage location system needs to reflect the locations that can be identified on-site, and at the same time manage the relationships between warehouses, areas, shelves, and storage locations as independent data.
After the business system request times out, the caller may not know whether the document has been created, so it submits it again. If ERP treats each request as a new business, inventory, receivables, or purchasing records will be duplicated. The interface needs to be able to identify the same business submission and return the existing processing results.
Migration does not mean copying all old tables to the new system. Deactivated customers, duplicate suppliers, and open orders in historical data may require different handling. The scope and queryability should be clearly preserved at the beginning of the project to avoid turning the new system into a collection of old problems.
The cost report only shows a total, and it is difficult for the business department to confirm whether the difference comes from the purchase price, material consumption or allocation rules. The ERP cost module should save the calculation basis so that personnel can find the source along with the summary results without relying on additional tables for explanation.
After the approver takes leave or is transferred, the document may stay at the same node for a long time. Simply giving approval authority to everyone will destroy the boundaries of responsibilities. ERP approval should separate job responsibilities from current personnel and provide a scoped agency mechanism.
Discovering a large number of unapproved documents at the end of the month will cause repeated communication between the business department and the financial department. The monthly statement should not just be a close button, but should provide a list that can be checked in advance, indicating which records will affect the current period and which matters can be left for subsequent processing according to the rules.
Group companies often need to share material catalogs, but procurement contracts, costs and customer prices may only be viewed by some organizations. Adding an organization field to a table does not automatically create access isolation. The ownership and sharing scope of each type of data need to be defined separately.
After discovering inventory discrepancies, directly adjusting to the count quantity can temporarily eliminate the numerical conflict, but it cannot explain where the discrepancy arises. ERP needs to support discrepancy investigation and handle unrecorded entries and exits, unit errors and inventory deviations separately to avoid the same problems from recurring.
When the customer adjusts the quantity or delivery date, an order may already have shipping, purchasing or production tasks. Directly editing the original order will make the execution record lose its basis. Order changes need to describe the differences and distinguish between the parts of the business that have not yet been executed and those that have been executed.
The arrival, acceptance and invoice receipt are usually not the same day. If the system requires all actions to be completed at once, purchasing personnel may fill in information that has not yet occurred, and finance cannot tell which amounts are still pending. The three types of documents should be recorded independently and then related according to business rules.
The same material has different names in the purchasing table, warehouse table and sales table. Multiple files are often formed after being imported into ERP. If business personnel continue to add codes, inventory and prices will be separated. Master data governance should first establish identification rules and then decide which historical records to merge.
