Customers often have their own numbers in stores, customer service and transaction systems. If you directly use the name to make the association, you will mistakenly identify the customer. If you use the mobile phone number, you may also encounter changing numbers or sharing contact information.
The data mentioned by the business department may come from the order library, activity form and manual ledger. If the source is not clearly registered, it is easy for the platform to accept duplicate records, and it is unclear who is responsible for correcting them.
The traceability function is not completed if you can search for the sample number. For a report, it is necessary to check sample receipt, task assignment, method version, original data and audit records, and understand the changes in between. The complete scenario including sampling, modification and review should be selected for acceptance.
Inventory knows how much reagent is left, but it cannot answer which batch of reagent was used for a certain test. LIMS reagent and consumables management should connect purchase receipt, inventory status and actual use, which not only supports inventory but also provides a basis for subsequent traceability.
Complete report formatting does not mean that the data has been confirmed. If the report directly reads results that are still editable, silent changes may occur during review. LIMS report management should clarify the status of data sources and save the results and templates used when forming the audit version.
When there is an abnormality in the quality control record, the system needs to prompt relevant personnel to check the reason. It cannot interpret the abnormality as invalid test results or automatic release. LIMS should associate exception records, affected tasks and review opinions to make the processing scope clear and traceable.
When there is an entry error in the record, it needs to be corrected, but overwriting the original value directly will lose the change process. LIMS should distinguish between draft editing and corrections to confirmed records, and save the person who made the changes, the reasons, and related confirmations, so that subsequent reviews can understand why the results changed.
The successful upload of the instrument file does not mean that the results have been correctly attributed. Inconsistencies in sample number formats, project names, and units can put data in the wrong place. LIMS import should be divided into parsing, matching, verification and confirmation, and the original files should be retained for review.
If task allocation only depends on who is currently available, method familiarity, position authorization and equipment availability may be ignored. LIMS should express business-determined allocation conditions as checkable rules, while retaining manual confirmation entry to avoid treating automatic allocation as professional judgment.
After the detection method is adjusted, old tasks still need to indicate the version used. Only the latest files are saved in the database, making it difficult to trace historical results. LIMS method management should establish a traceable relationship between method versions, task configurations and original records to avoid current definitions changing past records.
When the sample packaging, quantity or status is inconsistent with the commission requirements, there may be no basis for direct acceptance or direct rejection. LIMS should provide a pending confirmation status, record observed facts, communication opinions, and final disposition respectively, so that subsequent personnel can know the restrictions.
A sample submitted for inspection may be split into multiple testing parts, or a part may need to be retained for subsequent review. If only the same number is reused, it will be difficult to distinguish the destination of each sample. LIMS should distinguish the objects to be submitted for inspection, samples received and sample division records, and the source relationship should be retained.
